Privacy Policy

Profil-e is a business name of Be Well Together inc. This policy explains how we collect, use, retain and protect the personal information of visitors to our website, coaches who use the platform and participants who complete the Profil-e questionnaire, in accordance with Quebec's Act respecting the protection of personal information in the private sector.

Website visitors: name, email, phone number and company name when you contact us, to respond to your request.

Coaches: identity, contact details, billing information and certification progress, to provide access to the platform, manage certification and invoice.

Participants: name, email, questionnaire answers and selected words, to produce the emotional signature and, with the participant's consent, the resonance analysis with another person or a team.

We only collect what is necessary for these purposes. We never sell personal information or use it for advertising.

Before answering the questionnaire, the participant reads a consent screen explaining what is collected, why, for how long and what their rights are. The box is never pre-checked. Because questionnaire results are information of an intimate nature, we only collect and use them with this express consent. You may withdraw your consent at any time by writing to info@profil-e.ca.

A participant's results are available to the coach who invited them. They are shared with the coach's colleague, a manager or an employer only with the participant's consent. Our technology providers, Amazon Web Services (hosting), SendGrid (email delivery) and Stripe (coach payments), only access what is needed to provide their service and are bound by a written agreement.

Profil-e produces a reading of how a person reacts, based on their answers. It makes no decision about them: any decision remains a person's, and cannot rely on this result alone.

Coach and participant information is hosted in Quebec (Montréal). Two providers process part of it outside Quebec: SendGrid (Twilio, United States) receives recipients' names and email addresses as well as the content of the platform's emails in order to deliver them (invitations, sign-in and reset codes, re-test notices, acknowledgements, follow-up on access or deletion requests, receipts), and Stripe processes coaches' payment information. Before this disclosure, we assessed the privacy-related factors and ensured, through a written agreement, that this information receives adequate protection there.

Participant results are kept for 7 years from the date the questionnaire was completed, which makes it possible to compare a profile over time at re-test. Billing information is kept as required by tax law. At the end of these periods, information is securely destroyed or anonymized.

You may request access to your information, obtain a copy in a commonly used format, have it corrected, withdraw your consent or request its deletion. Write to info@profil-e.ca; we respond within 30 days at the latest. A deletion request can be cancelled for 30 days; it is then processed.

We take reasonable security measures suited to the sensitivity of the information: access limited to authorized people, data encryption and access logging.

Our website only uses cookies that are necessary or functional. The only cookie set before you make any choice is a functional cookie for the home page A/B test: as soon as you reach that page, it stores a random number between 0 and 99, with no identifier, for 30 days, only to show you the same version on each visit. No analytics or advertising cookies are set without your consent.

Only with your consent, we measure the use of our website anonymously (pages visited, clicks, scrolling, time spent) in order to improve it. This measurement only starts after you accept analytics cookies in the cookie banner; without your consent, nothing is measured.

The data is anonymous: no name, no email, and your IP address is not stored (it is only used transiently to limit abuse). We also record the site that referred you (the domain name only, never the full address) and the campaign parameters (UTM) of the landing address, if any.

The visitor identifier and the visit identifier are random numbers that cannot identify you. They are kept in your browser's local storage (not in cookies), are only created after you consent, and are deleted if you withdraw. The visitor identifier is renewed after 13 months at most, and the visit identifier after 30 minutes of inactivity.

To compare two versions of the home page (A/B test), the functional cookie described in the "Cookies" section is set as soon as you reach the home page, before you make any choice. It contains no identifier: a random number between 0 and 99, valid for 30 days, used only to show you the same version on each visit.

Visits by the Profil-e team and by bots are excluded. Measurement data is kept for 13 months, then deleted. It is hosted in Canada (Amazon Web Services, ca-central-1 region, Montréal).

You can withdraw your consent at any time with the button below or by clearing this site's data in your browser (the banner will reappear).

If an incident presents a risk of serious injury, we notify the Commission d'accès à l'information and the people concerned.

Complaints may be sent to the person in charge of the protection of personal information at info@profil-e.ca. If you are not satisfied with the response, you may contact the Commission d'accès à l'information du Québec.

We will notify you of any significant change to this policy. The date of the last update appears at the top of the page.
